What this article covers: How to upload financial data to BrizoConsol using any accounting system export — the supported file formats, layout types BrizoConsol recognises, the five-step upload process, and what to expect at each stage.
BrizoConsol accepts financial exports from any accounting system — not just one fixed template. Whether your trial balance has accounts in rows with months across the columns, uses Xero's stacked two-row header, covers multiple periods across separate worksheets, or is a raw general ledger export, BrizoConsol classifies the file structure, proposes the mapping, asks you to confirm anything uncertain, and converts everything into month-level trial balance records ready for reporting and consolidation.
🛈 When to use this: Use the Excel / CSV upload for entities not connected directly to Xero, QuickBooks, MYOB, or Zoho Books — such as entities on SAP, NetSuite, Sage, or spreadsheet-based accounting. If a direct integration is available, connect it instead for automatic sync each period.

2. Layout Types BrizoConsol Recognises
What matters is not the file type — it's what's inside. BrizoConsol is designed to handle the formats accounting teams actually work with. The AI classifies the layout automatically during the upload process.
📊
Standard Trial Balance — accounts in rows, months in columns
Accounts down the rows, months across the columns — Jan, Feb, Mar-2025, 2025-01. Period headers are detected automatically regardless of formatting style. This is the most common format.
🔤
Opaque period columns — Month1, Period A, Q1
Columns labelled generically — Month1, Month2, Period A, Q1. The AI maps each column to the actual reporting period without requiring you to reformat the file first.
📋
Two-row Excel headers — year on row 1, month names on row 2
The first row contains a year range, the second row contains month names — the format Xero and several other platforms export by default. BrizoConsol handles the stacked header structure natively without any manual reformatting.
📑
Multi-sheet workbooks — one worksheet per period
Each worksheet is one period, named Jan 2025, Feb 2025, and so on. Sheet names are used as period labels automatically — no need to combine sheets before uploading.
📄
Single-period balance list — one sheet, one month
One sheet, one month — typically titled something like As at Apr 2026. If the period is not clear from the file, the system asks you to confirm it before proceeding. Nothing is extracted until you confirm.
📈
Paired P&L + Balance Sheet workbook
A workbook with one Profit & Loss sheet and one Balance Sheet sheet, both covering the same reporting periods across the columns. BrizoConsol converts the two statements together into trial balance rows automatically.
Important: A standalone P&L-only or Balance Sheet-only file is not accepted — both statements must be present for the same periods, because together they form a complete trial balance.
🧾
Transaction detail / general ledger export
Rows are individual postings with account, date, and debit/credit amounts — the format QuickBooks and many ERP systems export by default. BrizoConsol rolls these up into monthly trial balance rows automatically.
3. How the Upload Works — Step by Step
1
Drop your files
Go to Organisation Settings → Data Loading and click Upload Actual Financials. Drag in your files or click to browse. You can upload up to 12 files at once. The browser validates file type, count, and size before anything is sent to the server.
2
AI classifies the file and proposes the mapping
The AI performs a structure pass — classifying the file layout, detecting reporting periods, identifying the best-fit template, and proposing the sheet and column mapping. It determines:
- Which column is the account code
- Which column is the account name
- Which columns carry period data and what period each represents
- How debits and credits are represented — signed amounts, separate Dr/Cr columns, or debit/credit sides
3
You confirm before anything is extracted
The proposed mapping is shown to you for review. You can accept it as-is or adjust any part of it:
What you can adjust
Example
Sheet selectionChoose which worksheet(s) to import from a multi-sheet workbook
Account code columnIf the AI picked the wrong column as the account code
Account name columnIf account description is in a different column
Debit / Credit columnsSwitch between signed amount, separate Dr/Cr columns, or Dr/Cr side column
Reporting yearIf month headers only show Jan, Feb without a year, confirm the year before extraction
Nothing is extracted until you confirm. You always review the proposed mapping first.
4
The system extracts, validates, and loads
After you confirm, BrizoConsol extracts rows using the confirmed mapping and processes the data:
- Aggregates by account code into trial balance rows
- Validates the reporting period window
- Rejects empty or zero-only imports
- If new accounts are found that don't exist in the chart of accounts, you are asked to confirm or adjust their classifications before the import completes
- If a retained earnings account is required but missing, you are prompted to provide one
- Existing data for any loaded period is replaced cleanly
- Recalculates balances and movements, and triggers auto-elimination processing automatically
5
Success banner confirms what was loaded
The result screen shows the file classification, the columns used, the periods loaded, and any warnings — so you know exactly what went in and where to look if anything needs attention. Verify the load in Organisation Settings → Data Loading — the period rows will show an updated Load Status timestamp.
4. Example Files — What Real Uploads Look Like
To give a concrete picture, here are the kinds of files BrizoConsol handles in practice. Every one passes through the same AI structure pass and confirmation step before data is extracted.
