What this article covers: How to bring QuickBooks Online classes into BrizoConsol — switching the class report on, classifying class groups, loading the monthly profit and loss by class, viewing it, and how class figures are combined across the entities in a group.
🛈 Before you start: The entity must already be connected to QuickBooks Online (see
Connecting an Entity to QuickBooks Online). Profit and loss by class is available on the
Free, Pro and Premium editions, not on Standard. Switching it on, importing classes and saving classifications need a user who can administer the entity’s data. Classes are set up on each QuickBooks entity, not on a consolidated group.
What BrizoConsol Reads from QuickBooks
Item
Detail
Classes
Every class, grouped under its top-level class. Child classes behave as the options of their top-level class.
P&L by class
QuickBooks’ own Profit and Loss by Class report, stored month by month. Reading it is one report read per month.
Operational dataset
One read-only dataset, QuickBooks: Class, written from the stored months — see section 6.
1. Switch On P&L by Class
The QuickBooks consent already covers classes, but the class report stays off until you switch it on.
1
Open Data Loading for the entitySelect the QuickBooks entity, then open Data Loading.
2
Click Switch on P&L by classThe button sits next to Additional reads in the sync bar at the top of the page.
3
Check the confirmationBrizoConsol confirms that profit and loss by class is now read for this connection.
Once it is on, the page header shows Review Class Setup and the period table gains a P&L by class column. Users who cannot administer data see that a data administrator must switch it on.
2. Import and Classify Classes
1
Click Review Class SetupOpens the Class Setup page from Data Loading.
2
Click Import from QuickBooksShown as Refresh from QuickBooks once classes exist. Each top-level class is shown once, with its child classes listed underneath. If no class figures have been loaded yet, the import also loads them from the start of the fiscal year.
3
Review Confirm MappingA mapping is suggested for each top-level class. Change it where it is wrong. The mapping applies to the top-level class and all of its child classes.
4
Click Save Class SetupSaves the confirmed mapping.
The mapping types are Store, Client Tracking, Project Tracking, Regional Division, Product Line, Service Line, Department, Team/Staff and Other. A class mapped to Department or Store makes the matching dashboard template available (section 5).
💡 Tip: The suggestions are produced by AI and are advisory. If they are unavailable, the classes are still imported and the import message says how many still need a classification.
3. Load the Monthly P&L by Class
Once switched on, the profit and loss by class is loaded with each month’s trial balance whenever the connection loads that month. To load or reload specific months:
1
Choose the monthsOn Data Loading, click Load missing or Reload on a period row, or tick several periods and click Load selected.
2
Tick P&L by ClassUnder Data Types in the load dialog.
3
Click Start LoadThe P&L by class column shows the status of each month.
4. View the P&L by Class
1
Click View P&L by ClassOn the Class Setup page.
2
Choose a Class, From Date and To DateEach choice is a top-level class, with its child classes shown in brackets.
3
Click Load QuickBooks ReportThe report is read live from QuickBooks for the dates entered. The header lists the classes the chosen group includes.
This screen reads QuickBooks directly, so it does not depend on which months have been loaded. Dashboards, reports and Operational Data use the loaded months.
5. Using Class Data in Dashboards & Reports
Data source
What it shows
Revenue by Class
Total income by class
Net Profit by Class
Net profit by class
Total Expenses by Class
Total expenses by class
Each source is offered once per top-level class, and breaks it down by the class’s own name. Two dashboard templates use the mapping from section 2: Department P&L (a class mapped to Department) and Store Performance (a class mapped to Store).
6. Consolidating Class Data Across Entities
Group dashboards and reports
On a consolidated entity, the “by Class” sources read every entity beneath it. You choose the top-level class by name, and figures are added together wherever the class name is the same in each entity. A different spelling in one entity appears as a separate series.
These sources add each entity’s figures as stored, in that entity’s own currency. When entities report in different currencies, use the operational dataset or report below, which are translated into the group’s currency.
Operational Data
Each QuickBooks entity holds one read-only dataset, QuickBooks: Class, with the dimensions Class and P&L Line. QuickBooks’ total columns are not copied into it. It is rewritten each time a month is loaded and is removed when QuickBooks is disconnected.
Operational Reports
Every QuickBooks entity writes its class dataset under the same source, so QuickBooks: Class opens as one operational report covering all the QuickBooks entities the group can read. Drag Entity onto an axis to split it by entity. See Operational Reports and Operational Data Consolidation.
