What this article covers: How to map each entity's Chart of Accounts to the group-level Common Chart of Accounts in BrizoConsol — using BrizoMap (AI-assisted), mapping manually, ignoring accounts, and resolving unmapped accounts before consolidation.

Account Mapping connects each entity's accounts to the corresponding accounts in the Common Chart of Accounts (Common COA). This is what allows BrizoConsol to consolidate financial data from multiple entities — without mapping, an entity's transactions will not appear in group-level reports.

🛈 Prerequisites: Before mapping, ensure both the entity's Chart of Accounts and the Common Chart of Accounts are set up. Account Mapping is found under Global Settings → Account Mapping.

1. Navigating the Account Mapping Page

The Account Mapping page shows the mapping status for each entity in your group. Key elements:

Element Description
Unmapped organisations A tag at the top showing which entities still have unmapped accounts — e.g. test (0/25) means 0 of 25 accounts are mapped for the "test" entity. Click an entity tag to jump to it.
Entity selector Dropdown to switch between entities — each entity's mappings are managed independently on this page.
Mapping status bar Shows a live count of mapped, ignored, and pending accounts for the selected entity — e.g. 0 mapped, 0 ignored, 25 pending. Updates as you map accounts.
Show unmapped only Checkbox that filters the list to show only accounts that have not yet been mapped or ignored — useful for quickly finding what still needs attention.
Search bar Filter the account list by name or code.

Status Indicators

Each account row has a coloured dot on the right indicating its current mapping status:

Status Meaning
🟠 Pending Not yet mapped — account will not be included in consolidated reports
🟢 Mapped Successfully mapped to a Common COA account — data will flow into consolidated reports
Ignored Intentionally excluded from consolidation — account will not appear in group reports

2. Mapping Accounts

Option A — AI Auto-Map (recommended)

1
Select the entity from the dropdownMake sure you are viewing the entity you want to map.
2
Click AI Auto-MapFound in the bottom toolbar. BrizoConsol analyses account names and codes to automatically suggest the best matching Common COA account for each entity account.
3
Review the suggested mappingsCheck that each entity account has been matched to the correct Common COA account. Pay particular attention to accounts with similar names or codes that could be mismatched.
4
Click SaveSaves all mappings for the selected entity. The status bar updates to show mapped, ignored, and pending counts.

Option B — Map Manually

For accounts that AI Auto-Map could not match, or to correct an incorrect suggestion:

1
Click the dropdown in the Common Chart of Accounts columnThe dropdown next to each entity account shows the list of available Common COA accounts.
2
Select the matching Common COA accountThe dot turns green when a mapping is selected. To intentionally exclude an account from consolidation, select — Ignore from the dropdown instead.
3
Click Save when doneSave regularly as you work — mappings are not applied until saved.

Option C — Upload Mappings via CSV

Click Upload in the bottom toolbar to import a pre-prepared mapping file. Use Download first to get the current mapping file as a template — fill in the Common COA column for each account, then re-upload. Useful for bulk mapping or when working with a large COA.

3. Ignoring Accounts

Select — Ignore from the dropdown to intentionally exclude an account from consolidation. The dot turns grey and the account is counted as "ignored" rather than "pending".

Good reasons to ignore an account Do not ignore
Intercompany clearing accounts already eliminated Revenue or expense accounts — these will be missing from P&L
Accounts used only in entity-level reporting, not group reporting Balance sheet accounts — these will distort ratios and equity
Statistical or memo accounts with no financial balance Accounts with balances unless you are certain they should be excluded

4. Checking Mapping Completeness

The Unmapped organisations bar at the top of the page shows which entities still have pending accounts. An entity is considered fully mapped when its status shows All accounts mapped and the bottom-right summary reads All mapped/ignored.

Status shown What it means
X mapped, Y pending Some accounts still need to be mapped or ignored before consolidation is complete
✓ All accounts mapped All accounts for this entity are either mapped to the Common COA or intentionally ignored — entity data will flow into group reports

Use the Show unmapped only checkbox to quickly filter to accounts still requiring attention, and the search bar to find a specific account by name or code.

💡 Tip: Work through one entity at a time using the entity selector. After mapping and saving each entity, check the Unmapped organisations bar to track overall progress across the group.

BrizoMap — AI-Assisted Account Mapping

BrizoMap is an AI assistant that generates account mapping suggestions for unmapped accounts — matching each entity account to the most likely Common COA account based on account name, code, and section similarity. It significantly reduces the manual effort of mapping large charts of accounts.

Click the BrizoMap button in the bottom toolbar to start.

Step 1 — Get Suggestions

Clicking BrizoMap opens the BrizoMapster dialog — "AI assistant for generating account mappings". This confirms that:

  • AI will only suggest mappings for unmapped accounts — existing mappings will not be overridden
  • AI-generated mappings may not be fully accurate — review and adjust them before confirming

Click Get Suggestions to run the AI analysis.

Step 2 — Review and Apply Suggestions

The Apply AI Suggestions dialog appears, showing a list of all suggested mappings with confidence ratings. Review each one before applying.

Element Description
Summary banner Shows the total number of suggestions found — e.g. "AI found 55 mapping suggestions — Matched by account name, code, and section similarity."
Suggestion rows Each row shows the entity account (code + name + section) → confidence badge → suggested Common COA account. A checkbox on the left lets you include or exclude individual suggestions.
Confidence badges HIGHStrong match — account name, code, and section all align closely.
MEDIUMPartial match — review before accepting.
Bottom summary Shows Will be mapped, Skipped (deselected), and Still pending (no suggestion found) counts — updates live as you deselect rows.
Deselect all Link to deselect all suggestions at once — useful if you want to selectively accept only specific mappings.

Deselect any suggestions you do not want to apply, then click Confirm & Map (N) where N is the number of mappings that will be applied. The mappings are applied immediately and the status bar updates.

⚠️ Review MEDIUM confidence suggestions carefully. These are partial matches — AI matched on one or two signals but not all. Check the section type (Asset, Liability, Revenue etc.) matches before accepting. A wrong mapping will silently misclassify balances in consolidated reports.
💡 Still pending accounts: If BrizoMap cannot find a match for some accounts, they remain pending after applying suggestions. Map these manually using the dropdown, or use — Ignore if they should be excluded from consolidation.
