Chart of Accounts Setup Options & Account Status

What this article covers: Additional ways to build a Chart of Accounts in BrizoConsol — starting from an existing organisation and importing the Common COA from a connector — plus how account status (Active, Inactive, Forced Active) works and which fields you can edit on a connected entity.

This article covers the setup options and account status controls not described in Common Chart of Accounts and Chart of Accounts.

1. Start from Existing Organisation

When a chart of accounts is empty, the setup options include Start from Existing Organisation — the fastest way to build a COA.

Click Start from Existing OrganisationFor the Common COA, the dialog copies from one leaf-level company. For an entity COA, it copies from another organisation in your group.

Choose the source organisationOrganisations without a chart of accounts are marked (No COA) and cannot be selected.

Click Copy AccountsThe accounts are copied. Review sections and types afterwards.

2. Import Common COA from a Connector

On the Common COA, Import from Connector (or Import Common COA on a populated Common COA) loads the chart of accounts straight from Xero, QuickBooks, MYOB, or Zoho Books.

🛈 This replaces the existing Common COA. All existing Common COA entries are overwritten before the fresh chart is imported. Only chart of accounts data is imported — trial balances, invoices, bills, and other connector data are not loaded.

3. Account Status

Each account in an entity’s Chart of Accounts has a Status:

Status Meaning

Active The account has at least one non-zero balance in the entity’s loaded actual trial balance data.

Inactive The account has no non-zero actual balance. Inactive accounts are hidden from account mapping and from unmapped-account notifications.

Forced Active You have forced the account to stay active. It is never switched to Inactive automatically — useful for accounts you budget on but that have no actuals yet.

Status is updated when trial balance data is synced or uploaded. Entities with no loaded actual data are left unchanged. To force an account active, click the Force active icon on its row; click Revert to auto status to undo. The status control is available on entity charts of accounts, not on the Common COA.

4. Editing Accounts on a Connected Entity

For an entity connected to Xero, QuickBooks, MYOB, or Zoho Books, the accounting system owns the code, name, and section of the accounts it syncs, so those fields cannot be edited in BrizoConsol. You can still add accounts by hand (for example for budgeting); manually added accounts stay fully editable and are kept when the connector syncs the chart of accounts again.
