Set the lock date in Xero, then reload

BrizoConsol keeps re-reading recent months from Xero, so a journal posted late in Xero changes your group figures overnight. Set the lock date in Xero first, then reload the month once in BrizoConsol. That copy is final.

You will needYour companies connected to Xero and mapped to the group chart, as in Track 1. The Adviser role in each Xero organisation, which setting a lock date needs.
By the endOctober 2026 locked in all three Xero organisations, and reloaded and checked in BrizoConsol, ready for the group entries.

1Know why the order matters

You are closing October 2026 for Your Group: Harbour Pte Ltd, Harbour Pty Ltd and Harbour NZ Ltd, each in its own Xero organisation.

Finish October in Xero, set its lock date to 31 October 2026, reload Oct-2026 in BrizoConsol for each company, then check the figures against Xero
Lock at the source first, so the reload is the last one that matters.
Every nightBrizoConsol re-reads the last 12 months of trial balances from each Xero organisation, and the last 6 months of invoices and bills.
A lock in BrizoConsolStops group entries — journals, eliminations, exchange rates — but not these reads. A company’s October figures still change if its Xero books change.
A lock date in XeroStops the books changing. BrizoConsol doesn’t read Xero’s lock dates, so it is up to you to set them.

2Set the lock date in each Xero organisation

Do this once each company’s accountant has posted the last October entries.

  1. In Xero, open Harbour Pte Ltd’s organisation.
  2. Go to Financial settings, and find Lock dates.
  3. Set the lock date to 31 October 2026, and save.
  4. Repeat in Harbour Pty Ltd and Harbour NZ Ltd.

Xero has two lock dates. One stops all users except advisers making changes on and before the date; the other stops all users, advisers too. For a group close, set the one that stops everyone, so an adviser can’t change October by accident either.

Use 31 October. Xero locks transactions dated on and before the lock date, so the month-end date itself is locked.

3Reload October in BrizoConsol

Last night’s copy may be missing entries posted today. Reload the month now that it can’t change:

  1. Select Harbour Pte Ltd in the entity selector.
  2. Open Settings → Organisation Settings → Data Loading.
  3. On the Oct-2026 row, click Reload.
  4. GL is ticked; tick Invoices and Bills too. If additional access is on, tick Transactions and P&L by Tracking Category too. Click Start Load.
  5. Repeat for Harbour Pty Ltd and Harbour NZ Ltd.
Data Loading for Harbour Pte Ltd: Oct-2026 just reloaded, its general ledger, invoices, bills, transactions and tracking each loaded a few seconds ago, and the Reload button on each period
Reload October (1); each data type then shows when it was last loaded (2).

Ticking Transactions matters for Xero: unlike the general ledger, they aren’t re-read every night, so this reload is what brings October’s final payments, credit notes and journal lines in for drill-down and settlements.

4Check each company against Xero

  1. Select Harbour Pte Ltd, and open Reports → All Reports → Trial Balance for Oct-2026.
  2. Compare total assets, total liabilities and net profit with Harbour Pte Ltd’s trial balance in Xero at 31 October.
  3. Repeat for the other two. Their reports are in AUD and NZD, as in Xero.

Then open Review → Month End Status for the group, on Oct 2026.

Month End Status for Oct 2026 after the reload: the three Harbour companies each Loaded and Ready, with eliminations, NCI and CTA still to come
Every company’s GL is loaded (1), and each is Ready (2).

Check

Each company’s trial balance matches Xero, and Month End Status shows 3 / 3 under Data loaded with every company Ready.

October is still open in BrizoConsol: the eliminations come next. Lock it there once the group entries are posted, as in Review everything before you report.

5If October has to change later

  1. In Xero, move the lock date back or clear it, post the correction, and set the lock date again.
  2. Reload Oct-2026 in BrizoConsol for that company — with Transactions ticked — and check it again.

A correction posted in Xero reaches the trial balance with the next nightly read even if you don’t reload — reloading brings it in now, so you can check it.

6If something goes wrong

You can’t find or change the lock datesSetting a lock date needs the Adviser role in that Xero organisation. Ask someone who has it.
A company’s figures differ from XeroEntries were posted after the last load. Set the lock date and reload the month.
Group figures changed after the closeSomeone changed the books in Xero — an adviser, if only the all-users-except-advisers lock date was set. Check the lock dates, and the Data Loading page for when October was last loaded.
Drill-down or settlements don’t match the final booksOctober’s Transactions weren’t reloaded. Reload the month with Transactions ticked.
The month stays Not loadedCheck the connection on Data Loading — a Token expired badge in the Organisation Hierarchy means it needs Reconnect Now. Reconnect, then load the month.
New accounts appeared in October’s loadMap them before going on, or their balances are left out of the group. See Build the group chart from a Xero organisation.
