Xero Groups · Track 1 · Tutorial 1 of 3

Connect each Xero organisation

Each company in your group keeps its books in its own Xero organisation. Connect each one once, and BrizoConsol reads its figures every night from then on.

You will needYour group and its companies in the Organisation Hierarchy, as in Build your group structure. A Xero login with access to each Xero organisation. Administrator access in BrizoConsol.
By the endHarbour Pte Ltd, Harbour Pty Ltd and Harbour NZ Ltd each connected to their Xero organisation, with their currency, fiscal year, chart of accounts and trial balances loaded.

1Understand what is connected

In this series’ running example, Your Group reports in Singapore dollars and owns three companies that each keep their books in Xero: Harbour Pte Ltd in SGD, Harbour Pty Ltd in Australian dollars and Harbour NZ Ltd in New Zealand dollars.

Three Xero organisations, each connected to its own company under Your Group in BrizoConsol, which reads their settings, chart of accounts, trial balances and recent invoices and bills
One connection for each company; the group itself is not connected.
Read from XeroEach organisation’s currency, fiscal year and country, its chart of accounts, its monthly trial balances, and its recent invoices and bills.
Never writtenBrizoConsol only reads. Nothing you do in BrizoConsol changes your Xero data.
The groupYour Group is not a Xero organisation. It holds the consolidated figures BrizoConsol builds from the three companies.

2Check the companies are in the hierarchy

  1. Open Settings → Global Settings → Organisation Hierarchy.
  2. Check the three Harbour companies sit under Your Group. Add any that are missing with + Add Organisation, and click Save Changes.

A company you have just added can’t be connected until the hierarchy is saved: its Connection section says Save hierarchy first before connecting newly added entities.

3Connect a company

  1. Click Harbour Pte Ltd in the tree, and in its Connection section click Connect to Xero.
  2. Sign in to Xero and allow access. If Xero asks which organisations to connect, include Harbour Pte Ltd.
  3. Back in BrizoConsol, under Select an organisation to connect, choose Harbour Pte Ltd.
  4. Check the Connection summary, and click Connect Organisation.
Select an organisation to connect: Harbour Pte Ltd chosen from four Xero organisations, one already connected to another company; the Connection summary pairs the BrizoConsol company with the Xero organisation
The Xero organisation (1), the pair you are making (2), and Connect Organisation (3).

The list shows every Xero organisation your Xero login allowed. One that is already linked to a company in BrizoConsol is greyed out with Already connected to and that company’s name, so the same books can’t be loaded twice.

4Let the first load finish

A Loading your Xero data window shows each stage as it runs:

Connecting to XeroChecks the connection.
Importing organisation and chart of accountsCurrency, fiscal year and country, and every account in Xero.
Loading trial balancesMonth by month, up to 24 months back, within what your plan keeps.
Loading recent invoices, bills and tracking dataLast month and this month.
Preparing financial dataQueues the four months before that for invoices and bills, and refreshes the group.

After that, the connection refreshes every night: the last 12 months’ trial balances, and the last 6 months’ invoices and bills. If BrizoConsol finds accounts that aren’t mapped yet, it offers to open Account Mapping — see Map every company to one group chart of accounts.

5Check the connection

  1. In the Organisation Hierarchy, click Harbour Pte Ltd again.
Organisation Hierarchy with Harbour Pte Ltd selected: connected via Xero, currency SGD and fiscal year from Xero, data source Xero
The Xero organisation it is linked to (1), and the settings Xero now supplies (2).

Check

The panel says Connected via Xero with the Xero organisation’s name, Data Source shows Xero, and Currency and Fiscal Year Starts say From Xero. On Data Loading, the months are marked loaded.

Currency and fiscal year now come from Xero and can’t be edited in BrizoConsol. If either is wrong, correct it in Xero; the next load brings it in.

6Connect the others

Repeat steps 3 to 5 for Harbour Pty Ltd and Harbour NZ Ltd. Each company has its own connection, so each can be signed in with a different Xero login if your organisations are managed by different people.

Harbour Pty Ltd and Harbour NZ Ltd keep their books in AUD and NZD while the group reports in SGD. That needs the Free, Pro or Premium edition: on Standard, the connection is refused because Standard consolidates in one currency. Set up their exchange rates and translation as in Handle foreign currency companies.

7If something does not look right
