See who owes what

BrizoConsol keeps a current copy of every unpaid invoice in your Zoho companies. Pulse turns it into a customer ageing, so you can see who owes what, and how late, without opening Zoho.

You will needSouth Pte Ltd connected to Zoho Books, as in Connect each Zoho Books organisation.
By the endSouth’s customer ageing read on Pulse, its oldest debts traced to the invoices, and each invoice opened in Zoho Books.

1Know where the figures come from

Invoices and bills are read when you connect, the last 6 months every night, and every unpaid one every day, so the ageing shows every invoice still unpaid in Zoho, aged against today
Three reads keep the copy current.

The daily check is what makes the ageing reliable: it reads every invoice Zoho still shows as unpaid, however old, and re-checks the ones BrizoConsol holds as open. A payment recorded in Zoho today is reflected after the next check.

To see when it last ran, open South’s Data Loading page: the Invoices and Bills column headings show Last checked with the date and time.

2Open Receivables on Pulse

  1. Select South Pte Ltd.
  2. Open Pulse → Receivables.
  3. Scroll to Aging Summary.

The top of the page — the health score, KPIs and balance trends — follows the month you choose. The Aging Summary doesn’t: it is today’s position, ageing each unpaid invoice from its due date to today.

3Read the ageing

Aging Summary for South Pte Ltd: three customers with their amounts due by age, Lim Catering opened to its two overdue invoices, each linked to Zoho Books
Filter by age or risk (1); a customer opened to its invoices (2).
Total DueWhat the customer still owes, in South’s currency. A part-paid invoice counts only its balance.
FutureNot yet due.
0-30 to 91+ DaysDays past the due date, today.
RiskLow, Medium or High, from how late the customer pays on average, and how much they owe against the company’s receivables and against its revenue.

Use the filters above the table to list only one age band — 91+, say — or only High risk customers.

4Open a customer’s invoices

  1. Click Lim Catering. Its unpaid invoices open under it, with Invoice Date, Due Date, Status, Amount Due and Total.
  2. Click INV-000207. The invoice opens in Zoho Books in a new tab, if you are signed in to Zoho.

INV-000207 was for 10,400.00; 4,000.00 has been paid, so 6,400.00 is due, 68 days late. Status shows OVERDUE rather than part paid, because being late is what needs acting on.

Check

Lim Catering’s invoices add up to its 15,400.00 Total Due, and Zoho Books shows the same balances on INV-000188 and INV-000207.

5Look at the whole group

Select Your Group instead, and the Aging Summary lists the customers of every company beneath it. A customer that buys from two of your companies under the same name shows once, with both companies’ invoices.

Read companies in other currencies on their own. On the group, each invoice is added in its own company’s currency. East’s MYR balances would be added to South’s SGD ones as they are, so select East to read its ageing in MYR.

Pulse → Payables works the same way for bills: who you owe, and when.

6If something goes wrong

A paid invoice still showsThe daily check hasn’t run since the payment. Check Last checked on Data Loading; it clears after the next one.
Invoice/bill status unavailableData Loading couldn’t read the check’s status. Click Retry status read.
Automatic update failedThe last daily check stopped; the message under the heading says why. It runs again the next day.
Updates not authorised by recorded permissionsThe connection doesn’t allow reading invoices or bills. Reconnect South to Zoho Books and approve the access.
Unknown balances: …Some invoices came in without a balance, so totals and ageing leave them out. Reload the months they are in.
The invoice number isn’t a linkThe invoice has no Zoho ID, for example because it was uploaded rather than read from Zoho.
