Follow a figure to the Xero posting

When someone asks what is behind a group figure, you can answer from BrizoConsol. Click the figure, open a Xero organisation’s row, and read the invoices, bills and journals that made it.

You will needHarbour Pty Ltd connected, with October’s Transactions loaded and additional access switched on, as in Switch on additional access. Free, Pro or Premium edition for the ledger postings.
By the endGroup Travel for October traced to Harbour Pty Ltd’s two bills, a supplier credit note and a manual journal, and the journal opened to its lines.

1Understand the trail

Group Travel for October 2026 is 7,421.37, and Harbour Pty Ltd’s part looks high. You will follow it to the Xero entries behind it.

Four levels: the group Travel figure, the drill panel by company, Harbour Pty Ltd’s Xero documents and ledger postings, and the bill or journal itself
Each level explains the one above it.

BrizoConsol reads the trail from two places:

Xero documentsInvoices and bills, one row per line that posted to the account. They load with every refresh, on any plan.
Xero ledger postingsWhatever no document explains — a credit note, a manual journal, a bank charge, a currency gain. They need the month’s Transactions loaded with additional access switched on, and the Free, Pro or Premium edition.

A ledger posting a document already explains isn’t listed again, so nothing is counted twice.

2Open the drill panel

  1. Select Your Group, and open Reports → Profit & Loss for Oct-2026.
  2. Click the October amount on the Travel row.

The drill panel lists each organisation’s balance on the account. Its Data Type is xero, and In Local is the amount in the organisation’s own currency — AUD 3,220.00 for Harbour Pty Ltd, translated at 1.1700 AUD per SGD to SGD 2,752.14.

3Read Harbour Pty Ltd’s Xero postings

  1. Click Harbour Pty Ltd’s row — rows with postings behind them show a ▸ caret.
  2. Read the source rows: one for each Xero entry that posted to the account in October.

SourceInvoice or Bill for a document; journal line for a ledger posting. Xero credit notes aren’t read as documents, so they show as journal lines.
DocumentThe document’s number in Xero. A ledger posting shows its Xero journal number, as Journal 1532.
PartFor a document, the item on the line, or the contact when the line has no item. For a journal line, the tax rate on the line, or the account name when it has none.
AmountIn Harbour Pty Ltd’s currency, AUD. The rows add up to its In Local amount.

Entries that cancel each other out are hidden; click Show N postings that offset each other to see them.

4Open the entry

An invoice or billIts number is a link. Documents opens on it, with the contact, date, status and lines.
A journalClick its number. It opens under the row with each line’s account, description, debit and credit. The description is the line’s tax rate in Xero.

In the example, Journal 1532 is a month-end accrual for travel claims not yet submitted — 600.00 debited to Travel and credited to Accruals. With the two bills, it explains why October is high.

Check

Harbour Pty Ltd’s source rows add up to its AUD 3,220.00 in the drill panel. If not, a red line under the table says how much of the movement isn’t reconciled to a document.

A ledger posting carries no currency or rate of its own. A foreign-currency payment it explains shows at the amount Xero posted in Harbour Pty Ltd’s currency.

5Trace a balance sheet figure

On a balance sheet account, such as accounts receivable, the trail also shows where the month started and ended: the opening balance, the month’s movement and the closing balance, with the Xero entries that moved it listed underneath.

Only the month’s postings are listed: the opening balance is where they start from. In a year-to-date view, the movement is YTD movement, and the rows run from the start of the organisation’s fiscal year — so every month in that range needs its Transactions loaded.

6When the trail stops

If BrizoConsol can’t show the Xero postings, a notice above the table says why:

Journal lines for Oct-2026 are not loaded…In Settings → Organisation Settings → Data Loading, load October with Transactions ticked, as in Set the lock date in Xero, then reload. Transactions aren’t refreshed automatically, so load each month you want to trace.
No Xero document posted to Travel in Oct-2026, and this connection’s grant does not include its ledger (journals)…The connection wasn’t granted access to Xero’s journals. Reconnect Xero and allow access, then load Transactions. On Standard, the trail stops at the documents.
The ledger holds no line for this account in Oct-2026…Transactions are loaded, but nothing posted to the account that month. The figure is explained by the trial balance alone.
No Xero Actual trial balance is imported for Oct-2026.Load the month’s trial balance first.
Source postings belong to one account, and this row is a group of them. You drilled a total. Drill a single account’s amount.
Xero postings explain the local Actual import only…The report is on another scenario, such as Budget, or another accounting standard. Switch to Actual and the base standard.
…of the movement in the row above is not reconciled to a document here.Part of the month’s movement has no posting in what was loaded. Reload the month with Transactions ticked.
